What to Carry to Germany VFS Mumbai
Original documents required for German Schengen short-stay applications. National D-Visa needs additional category-specific documents (admission letter / employment contract / blocked account proof, etc).

Valid for at least 3 months past your return date with at least 2 blank facing pages, issued within last 10 years. Bring photocopies of the bio page and any old passports.

Schengen short-stay: VIDEX form from videx-national.diplo.de OR videx.diplo.de, completed online, printed, and signed in BLUE ink on every page. National D-visa: separate VIDEX-National form.
Visa fee + VFS logistics fee
German Schengen short-stay: €90 (~₹8,200), paid at the centre. VFS Mumbai logistics: ₹2,100 Schengen / ₹1,112 National / ₹1,542 D-Visa. Payment by Cash, Visa/Mastercard/Rupay/Amex, UPI, or Demand Draft (DD only for visa fee, payable to VFS Global Services Pvt. Ltd).
Cover / motivation letter
One A4 page, addressed to the German Consulate Mumbai. Schengen: state purpose, dates, cities you'll visit. National D-Visa: detailed reason (study programme, job offer, family reunification) with supporting evidence.
Bank statements — last 6 months
A4 size, branch-stamped on every page in dark blue ink. Germany expects ₹50,000+ per week of stay (approx €565/week as of 2026). Show consistent balance, not last-minute deposits.
Income Tax Returns — last 3 years
ITR-V acknowledgements for AY 2023-24, 2024-25, 2025-26. Form 16 from employer. Self-employed: P&L, balance sheet, GST returns, business registration.
Employment / business proof
On company letterhead: NOC stating you're on approved leave, salary continues, designation, joining date, and HR contact. Business owners: company registration certificate + 6 months' GST returns + udyam/MSME certificate if applicable.
Travel insurance — Schengen-wide
Minimum €30,000 medical coverage, valid in ALL Schengen states, dates matching travel + 1 day buffer either side. German Embassy commonly accepts Reliance, Tata AIG, ICICI Lombard, Bajaj Allianz. ~₹1,500–₹2,500.
Confirmed flight reservation
Round-trip flight booking — refundable hold, NOT paid in full. Most travel agents will issue a free 14-day hold. Pay only after visa approval.
Hotel bookings — every night
Refundable bookings (Booking.com works) covering every single night of stay across all Schengen states. The German Embassy spot-checks ~1 in 5 files; cancelled hotels = refusal.

How to Apply for a Germany Visa from Mumbai

Why Germany Visas Get Refused
The German Embassy is the strictest of all Schengen countries. The 7 most common reasons applications get rejected — each one preventable.
Photograph not biometric-grade
Fix: German Embassy is the strictest of all Schengen countries on photo specs. Light grey or white background, no shadows on face, ears visible, no smile. Use a Germany-visa-specialised studio.
VIDEX form mismatched with documents
Fix: Every entry on VIDEX (purpose, employer, address, host) must match supporting docs. Single-letter typos get queried. Print from VIDEX in colour, sign in blue ink.
Insurance not Schengen-wide or below €30,000
Fix: Verify the insurance certificate explicitly states '€30,000 minimum, valid in all Schengen states'. Some Indian travel insurance is India-only — German Embassy rejects these.
Insufficient bank balance for stay duration
Fix: Show ₹50,000+ per week of stay. For a 10-day Germany trip, ~₹5 lakh in your account is the comfortable floor. Sudden lump-sum deposits trigger source-of-funds questions.
Itinerary inconsistent with bookings or invitation
Fix: Cross-check arrival flight date → first hotel night, hotel checkout → next city. For business visits, dates on the German company's letter must match your stay.
Cover letter too generic
Fix: Mention specific places, dates, hotel names, and (for business) the exact business contact and meetings. 'I want to enjoy German culture' = automatic refusal.
D-Visa file missing critical documents
Fix: For long-stay (study, work, family reunion), German Embassy expects original admission letter, employment contract, blocked account proof (€11,904 for students 2026), or proof of family ties. Missing any one = refusal.
