2

Gather documents and submit online via IRCC Portal

Complete your visa application on the IRCC Portal, upload all supporting documents, and pay the IRCC application fee + biometrics fee (if first time).

3

Wait for the Biometric Instruction Letter (BIL)

After submission, IRCC emails you a BIL — this confirms your biometric requirement. You must use THIS BIL for THIS application.

4

Book VAC appointment via AMS

As of Feb 21, 2026, appointments are booked through the Appointment Management System (AMS). From Feb 24, 2026 you must upload your BIL to schedule. Each family member needs their own appointment.

5

Visit the VAC for biometrics

Attend your VAC appointment. Staff capture fingerprints + digital photo. Submit any documents not uploaded online. Pay VFS service charges. Collect your receipt with tracking number.

6

Track your application

Use the tracking ID from the VAC receipt on VFS website, web chat, email, or helpline (1800-266-8858). VFS tracking shows passport LOCATION only, not processing stage. Online applications: check status on IRCC.

7

Wait for the Passport Request Letter from IRCC

DO NOT submit your passport until you receive this letter from IRCC. Each family member receives their own letter.

8

Submit passport through VAC

Submit original passport + IRCC passport request letter + biometrics sticker copy + VFS consent form. Effective Oct 9, 2023: Only applicant, parents (for minors), or 1 appointed family member can submit.

💡 Pro Tips

  • Clearly demonstrate in your cover letter + invitation letter that you're NOT entering the Canadian labor market.
  • Invitation letter from the Canadian host should be on their company letterhead with exact dates and purpose.
  • If your meeting/conference is a major registered event, ask the organizer for the IRCC event code.
  • Strong financial documentation helps — business visitors should show their business/income is outside Canada.
  • Apply 4-6 weeks before your planned travel to account for processing time.

Common Rejection Reasons

  • 1.Weak or generic invitation letter from Canadian host
  • 2.Unclear purpose of visit — appears to be work rather than business visit
  • 3.Insufficient proof that primary business/income is outside Canada
  • 4.Short employment history or recent job change — weakens ties to India

Frequently Asked Questions

What's the difference between a Business Visitor Visa and a Work Permit?+
Business Visitor Visa is for attending meetings, conferences, training — you're NOT in the Canadian labor market. Work Permit is for actual employment with a Canadian employer. Business Visitor does NOT permit paid work for a Canadian entity.
Can I attend meetings AND explore tourism on the same trip?+
Yes — business visitors can include tourism as part of their trip. Just ensure your primary purpose is business-related and you don't overstay the 6-month limit.
Do I need a separate Business Visa or use the Tourist Visa?+
It's the same underlying visa (TRV) — you indicate 'Business' as the purpose on the application. The document set differs slightly: business requires an invitation letter from a Canadian business + stronger employer documentation.
What's an 'event code' and do I need one?+
Some major conferences / trade shows are pre-registered with IRCC. If yours is, the organizer provides an event code which speeds up your application processing. Not mandatory — but helpful if available.
Can SureshotVisa help with Canada Business Visa?+
Yes. We prepare the invitation letter coordination with your Canadian host, employer documentation, financial proofs, and handle the full IRCC + VAC process. Book a consultation.
